How Email Invoice Extraction Works

Invoice emails arrive from dozens of suppliers. Some weekly, some monthly, some irregularly. Manually searching for invoice attachments, downloading PDFs, and entering data into your accounting system takes hours every month. Invoflux automates the entire process.

1. Connect Your Email with OAuth

Invoflux connects to Gmail, Outlook, and Microsoft 365 via OAuth. A secure standard that grants read-only access to your email. No password sharing. You authorize once from your Invoflux settings, and the connection persists automatically.

2. AI Identifies Invoice Emails

Not every email is an invoice. Invoflux's AI reads incoming emails and identifies which ones contain invoice attachments. It handles PDFs, images (PNG, JPG), and embedded attachments equally well. Supplier confirmation emails, shipping notifications, and newsletters are filtered out automatically.

3. Data Extracted Automatically

For each identified invoice, AI extracts: supplier name, invoice number, date, due date, line items, net amount, VAT amount, and total. The extracted data is structured and ready for your accounting tool. No manual typing required.

4. Review and Export

Extracted invoices appear in your Invoflux dashboard, organized by supplier and date. Low-confidence extractions are flagged for quick review. Once approved, sync to Xero, QuickBooks, or export as CSV.

Which Email Providers Are Supported?

Invoflux supports Gmail (personal and Google Workspace), Outlook (personal), Microsoft 365 (business accounts), and shared inboxes (accounts@, invoices@, finance@) on both Google and Microsoft platforms.

Does It Work with Shared Inboxes?

Yes. For shared team inboxes like [email protected], you can connect the shared mailbox using service account or delegated access. All invoices arriving at the shared address are processed automatically.

What Happens If a Supplier Changes Their Invoice Format?

Unlike template-based tools, Invoflux's AI extraction doesn't depend on fixed templates. If a supplier updates their invoice layout, extraction continues to work without any configuration changes on your part.
