Why WhatsApp Invoice Management Matters

In many EU markets. Especially in construction, hospitality, retail, and services. A significant portion of supplier invoices arrive via WhatsApp. Suppliers photograph paper invoices, or send PDF attachments, directly to your WhatsApp Business number. Without automation, these invoices live in your WhatsApp chat history, easily missed and hard to track.

How WhatsApp Invoice Capture Works

Invoflux connects to your WhatsApp Business account via the WhatsApp Business API. When a supplier sends an invoice PDF or photo to your WhatsApp number, Invoflux automatically captures it, extracts the invoice data, and adds it to your dashboard. Alongside invoices collected from email and other sources.

Data Extraction from WhatsApp Invoices

For PDF invoices, AI extraction works as it does for email. Pulling supplier name, date, amounts, and VAT from the document. For photos of paper invoices, an additional OCR layer converts the image to text before AI extraction processes the fields.

Photo-based invoices typically have 90-95% extraction accuracy, depending on image quality. Blurry or poorly lit photos may flag more fields for manual review.

Privacy and GDPR

WhatsApp Business API connections are secured and data is processed on Invoflux's EU infrastructure (Frankfurt, Germany). Invoice data extracted from WhatsApp messages is subject to the same data processing agreement and GDPR safeguards as email-sourced invoices.

For Suppliers Still Sending to Personal WhatsApp

If suppliers send to a personal WhatsApp number (not a WhatsApp Business account), you can forward those messages to your connected WhatsApp Business account, or manually upload the document via the Invoflux mobile app's camera capture feature.
